Internal Training Policy
1. Introduction
This Reporting and Documentation Policy defines the standards applied by the National Crime Prevention Service (NCPS), registered in the Commercial Register of the Republic of Bulgaria under (NCPS Ltd) Bulstat / UIC: 208390351.
At NCPS, accurate, consistent and legally defensible reporting is a core operational function. Our documentation protocols are built to support accountability, evidence integrity and service transparency in compliance with both policing practices applicable legislation.
2. Structured Reporting Protocols
All NCPS officers are trained and required to complete specific documentation relevant to their deployment. These include, but are not limited to:
- General Incident Reports
- Use-of-Force Records
- Evidence Handling Logs
- Witness Statements (MG11 format)
- Daily Occurrence Logs (DOLs)
All documentation must be:
- Clear, objective and fact-based
- Structured in accordance with relevant legal and policing standards
- Differentiated by observed facts, professional judgement and third-party accounts
Report templates are standardised to ensure operational consistency across all services and teams.
3. Evidence You Can Rely On
NCPS supports every security action with layers of verifiable evidence, including:
- Supervisor-verified written reports
- Body-worn video (BWV) footage where issued
- Time-stamped activity and patrol logs
- GDPR-compliant digital storage systems
- Verified witness and third-party contact records
This robust evidence framework enhances client trust and ensures legal resilience in all engagements.
4. Internal Oversight and Improvement
NCPS leverages collected documentation for continuous improvement through:
- Routine audits of officer reporting for accuracy and professionalism
- Identification of training needs, procedural gaps or misconduct
- Data-driven analysis of incident patterns and operational risks
- Formal integration into quality assurance and improvement plans
This ensures reporting is not only a compliance function, but a key driver of performance and service development.
